Grant Reporting

Grant reporting requirements and due dates can be found in your counter-signed grant agreement letter.

For grants exceeding $25,000: The Foundation’s grant report form specific to grants exceeding $25,000 can be downloaded from this website, or contact the Foundation if you prefer to have a copy emailed to you.  The form serves as the cover sheet when submitting your narrative and financial reports. Short DVDs and a few photos may be added to complement your written report. The completed report should be no more than three pages in length. The completed report form should be emailed in Word format to aalva@stewardshipfdn.org.  It is required that a hard copy of the full grant report be mailed to the Foundation at:  PO Box 1278, Tacoma, WA  98401.

For grants $25,000 and under:  The Foundation’s grant report form specific to grants $25,000 and under, can be downloaded from this website, or contact the Foundation if you prefer to have a copy emailed to you.  The form serves as the cover sheet when submitting your one-page narrative and financial report.  Short DVDs and a few photos may be added to complement your written report.  Please email the completed report form, one-page narrative and financial report to aalva@stewardshipfdn.org.  A hard copy is not required if all parts of the report were sent electronically.

Financial Reporting for All Grants:  If funding was provided for general operating support, please provide a balance sheet and an income and expense report with a budget vs. actual comparison covering the year the funds were expended.  Please explain any significant changes (i.e. new sources of revenue, staff changes, capital improvements, or other activities).  If funding was project specific, please include specific information on how the Foundation’s funds were expended by providing income and expense information related to the grant.  If there is a discrepancy between the project budget submitted with the grant application and actual expenditure, or if there are unspent grant funds, please explain.

If the grant funds have not been spent by your reporting due date, please contact the Foundation office, or submit a revised budget and timetable in advance of the due date.
